Full job description
The Payroll Administrator is responsible for the accurate and timely processing of payroll in compliance with applicable legislation and company policies. This role also administers employee medical and pension benefit programs, ensuring accurate enrollment, ensuring all employee earnings, deductions, and statutory remittances are processed correctly while maintaining confidentiality and providing excellent internal customer service to employees and managers.
SPECIFIC DUTIES & KEY RESPONSIBILITIES:
Payroll Processing
- Process bi-weekly/weekly payroll for hourly and salaried employees in a multi-location environment
- Ensure accurate calculation of regular wages, overtime, premiums, bonuses, vacation pay, and statutory holiday pay
- Review and verify timesheets, attendance records, and payroll changes prior to processing
- Maintain payroll records and employee data in the payroll and HRIS systems
Statutory Compliance & Remittances
- Ensure compliance with employment standards, and tax legislation
- Process source deductions including CPP, EI, income tax, garnishments, and benefit deductions
- Prepare and submit statutory remittances to government agencies accurately and on time
- Prepare Records of Employment (ROEs) and respond to Service Canada and CRA inquiries
Medical & Pension Benefits Administration
- Administer employee medical, dental, insurance, and pension benefit programs.
- Manage employee enrollment, changes, and terminations in benefit and pension plans.
- Act as the primary liaison with benefit and pension providers for issue resolution and plan administration.
- Ensure accurate setup and maintenance of benefit and pension deductions within payroll systems.
- Reconcile monthly benefit and pension invoices against payroll records and investigate discrepancies.
- Monitor eligibility, waiting periods, and compliance with plan requirements.
- Assist employees with benefit and pension inquiries, claims guidance, and documentation.
- Support annual renewals, reporting, and audits related to benefit and pension plans.
Year-End & Audits
- Support year-end payroll activities including T4s, T4As, Relevé 1 (if applicable), and reconciliations
- Assist with internal and external audits related to payroll and benefits, and pension plans
- Maintain accurate documentation and reports for compliance and audit purposes
Employee & Management Support
- Respond to payroll-related employee inquiries in a timely, professional, and confidential manner
- Support HR and management with payroll reporting, analysis, and ad hoc requests
- Assist with onboarding and offboarding payroll processes, including payroll setup, benefit enrollment, and final pay calculations
QUALIFICATIONS:
- Minimum 5 years of payroll processing experience in a multi-employee environment
- Experience with payroll software and HRIS systems (e.g., ADP, Ceridian, Payworks, Dayforce)
- Strong understanding of payroll legislation (ESA, CPP, EI, CRA requirements; Canada Labour Code is an asset)
- Experience administering employee benefits and pension plans is strongly preferred

Experience:
- Payroll Processing : 5 years (required)
- administering employee benefits and pension plans: 1 year (required)
